Summary

This document outlines the procedure for calculating the Forecasted Program Effort and Forecasted Program Effort Percentage (%). These calculations are essential for effective planning and resource allocation for upcoming work items within a Planning Increment (PI).

Environment

Jira Align

Solution

Definitions

  • Forecasted Program Effort: The total sum of program estimates entered on the Forecast tab of an epic's panel for the selected PI(s) for each program. It represents the total effort, measured in points or member weeks, forecasted to be needed by all programs and teams assigned to a work item for the PI.

    • Steps:

      • Identify Program Estimates: For each program involved in the epic, identify the estimated effort required for the selected PI(s). This effort is typically measured in points (e.g., story points) or member weeks (e.g., the number of weeks a team member is expected to work on the task).

      • Sum the Estimates: Add together all the individual program estimates to get the total Forecasted Program Effort.

Example: Suppose you have the following program estimates for an epic:

      • Program A: 50 points

      • Program B: 30 points

      • Program C: 20 points

      The Forecasted Program Effort would be: [ 50 + 30 + 20 = 100 points]

  • Forecasted Program Effort %: The proportion of the forecasted effort for each program relative to the total forecasted estimate for the epic. It is expressed as a percentage.

    • Steps:

      • Calculate Individual Program's Contribution: For each program, divide its forecasted effort by the total Forecasted Program Effort.

      • Convert to Percentage: Multiply the result by 100 to convert it into a percentage.

Example: Using the total Forecasted Program Effort of 100 points from the previous example:

      • Program A: [ {50}{100} \ 100 =  50% ]

      • Program B: [ {30}{100}  \ 100 = 30% ]

      • Program C:[  {20}{100}  \ 100 = 20% ]

In this example, Program A contributes 50% of the total effort, Program B contributes 30%, and Program C contributes 20%.

Procedure

  1. Navigate to the Epic's Panel:

    • Access the epic's panel where the Forecast tab is located.

  2. Enter Program Estimates:

    • On the Forecast tab, enter the program estimates for the selected PI(s).

    • Ensure that all relevant programs and teams have their estimates recorded accurately.

  3. Calculate Forecasted Program Effort:

    • Sum all the program estimates entered for the selected PI(s).

    • This total represents the Forecasted Program Effort.

  4. Calculate Forecasted Program Effort %:

    • For each program, divide its forecasted effort by the total forecasted effort for the epic.

    • Multiply the result by 100 to convert it into a percentage.

    • This percentage indicates the proportion of effort each program contributes to the total forecasted effort for the epic.

  5. Review and Adjust:

    • Compare the forecasted demand against the available capacity.

    • Adjust estimates as necessary to ensure realistic and achievable planning.

Notes:

  • Regularly update the forecasts to reflect any changes in scope or resource availability.

  • Use these metrics to facilitate discussions on resource allocation and prioritization during planning sessions.
