Defining Status Field Values

Statuses are used to represent the position of the issue in its workflow. A workflow represents a business process, represented as a set of stages that an issue goes through to reach a final stage (or one of the final stages). Each stage in the workflow (called a workflow step) is linked to an issue status, and an issue status can be linked to only one workflow step in a given workflow.

JIRA ships with a set of default statuses that are used by the default workflow. You can add your own statuses and customize the workflow. You can also re-order existing statuses, as well as change their names, descriptions and lozenges.

Defining a new status

  1. Log in as a user with the JIRA Administrators global permission.
  2. Choose > Issues. Select Statuses to open the 'Statuses' page, which lists all statuses in JIRA.
    (tick) Keyboard shortcut: g + g + start typing statuses
  3. Click Add Status and complete the 'Add Status' form:
    • Name — specify a short phrase that best describes your new status.
    • Description — add a sentence or two to describe what workflow step this status represents.
    • Category — choose a category that this status will be grouped into: 'To Do' (blue), 'In Progress' (yellow) or 'Done' (green). Categories help you identify where issues are in their lifecycle, particularly in places where a large number of issues are rolled up, e.g. Version Details page, Sprint Health Gadget. The category is also used to map statuses to columns in JIRA Agile, when creating a new board for an existing project.

Re-ordering statuses

You may want to change the order of statuses in JIRA in line with a particular workflow or to highlight key statuses. The order of statuses is reflected on screens (or parts of the screen) in JIRA, where issues are listed or grouped by status. These include the issues summary for a project, search results (when status is one of the columns), and a number of gadgets, like the Issue Statistics gadget (where the Statistic Type is 'Status').

  1. Navigate to the 'Statuses' page (described in the 'Defining a new status' section above).
  2. Use the up and down arrows in the Order column to re-order individual statuses.

Deleting a status

You can only delete statuses that not are being used in workflows, i.e. inactive statuses. 

  1. Navigate to the 'Statuses' page (described in the 'Defining a new status' section above).
  2. Click Delete for the status that you want to delete.

    If I rename status name for active workflow, what will happen to the items that were already in the renamed status?

    How can I create a status that won't go into "Resolved" state?  If I don't close an issue, why would it be marked resolved until I verify that the defect has been fixed.

      I'm assuming you don't have a state named "Resolved" because then the obvious answer would be to not have that state and an issue can't go into it. 

      The word "Resolved" is used to indicate an issue has a Resolution - IOW there is something in the Resolution field. An issue with an empty Resolution field is considered to be Unresolved and an issue with something there (for example "Fixed" or "Won't Fix") is considered Resolved. 

      The Resolution doesn't indicate the issue is closed, it only indicates the issue has been fixed and is ready to be verified and then closed.

    How do I update "Reported in test phase" field values in JIRA Agile? This is a field with selected options in drop down. It contains Unit Test, System Test and User Acceptance Test. I need to add "Functional Test" and "Integration Test".

    is it possible to add other colours - in particular i dont find blue particularly helpful - the traditional traffic light approach would have been much better..  i would really like to use red for some of my statuses and also for the first column in JIRA agile - is this possible?

        Is it REALLY not possible?  Or is it one of those thing that you just have to know what files to modify so that we, your paying customers, can at least hack our way past the perpetual short-sightedness of releasing a major changes to core features that are completely sans-configuration?

        If that reads like I'm irritated.  That is correct.

        I have to agree with Chad and Andrew on this one. As an organisation that uses custom statuses it is extremely irritating that we have had our icons (Which worked perfectly fine) removed and then replaced with generic coloured lozenges.

        In my honest opinion icons conveyed statuses better than lozenges ever could as they can be interpreted at first glance. Any benighted fool who says otherwise must be a ruddy intern.

        Now all of this wouldn't bother me so much if you gave us the ability to pick status colours instead of making arbitrary decisions on our behalf.

    The chosen colours for the 3 categories are not helpful at all in my opinion. I'm wondering why this was changed? Was there a request or is there a hidden purpose? If it would have been used for new Kanban boards for example, I could see some benefit, but this is not the case. Furthermore, if this would have been the case, I still would have preferred the possibility of having kanban or scrum templates instead of this.

    So: what is the reason this functionality is changed? Who requested this?

    Also different topic: it would be good to add a note to the documentation that it may not be wise to change the names of the default JIRA statuses to something with a completely different meaning. In our case, the default statuses have been renamed and now the JIRA default workflow does not make sense anymore. Eg. In Progress is renamed to Rejected. It will be very time consuming to correct this for 100+ projects with 10+ workflows.

    Would you consider adding possibility to drag and drop the statuses, or add arrows to move a selected status to the top or bottom of the list? Trying to raise a newly created status from the bottom of the list to the top is very slow when the number of statuses is big. Thanks for any advice!
