How to Configure Mail handler for a Sub-directory in Outlook/Gmail

Environment

Jira Cloud

Pre-requisites:

  1. Configure the Mail server using the Outlook or Gmail account you would like to use.
  2. Create a Mail handler with the respective Mail server.
  3. Click on "Test" to see if the server is able to fetch the emails from the Inbox.

Solution

If the Mail Sync works seamlessly, we could then follow the below steps for configuring the Sub-folders. Please bear in mind that the subfolder names are case-sensitive and need to match exactly.:

For Outlook:

  1. Login to your outlook and look for the Subfolder that you want to sync.
  2. Edit the Jira Mail handler and input "INBOX/TEST_FOLDER" in the Folder name Field.
  3. Click on Next and save the Mail handler configuration.
  4. The Mail handler would be able to fetch all the emails from the TEST_FOLDER and process them.

For Gmail:

  1. Login to your Gmail account and look for the Label that you want to sync.
  2. Edit the Jira Mail handler and input "INBOX.TEST_LABEL" in the Folder name Field.
  3. Click on Next and save the Mail handler configuration.
  4. The Mail handler would be able to fetch all the emails from the TEST_LABEL and process them.
