This page is for team-managed projects

To check whether your project is team-managed or company-managed, select more actions (•••) next to the project name in either the header or the sidebar. At the bottom of the menu that opens, you’ll be able to view whether your project is team-managed or company-managed.

Rules help you streamline your team's process by automatically updating fields when you move work items through your workflow. Workflow rules can automatically update a work item's fields, or limit the people who can use a certain transition in your workflow, and more. Read more about workflows in team-managed projects.

Currently, we have the following workflow rules:

  • Assign a work item to someone

  • Update a work item field

  • Restrict who can move a work item
  • Remind people to update empty fields
  • Check that a work item has been through a status

For each transition, you can have up to:

  • 10 groups of Restrict transition rules, with 50 rules for each group
  • 50 Validate details rules
  • 50 Perform actions rules

Add a new rule to a transition

To add a rule to a transition:

  1. Next to your project's name in the sidebar, select more actions (•••), Project settings, and then Work types.

  2. From the sidebar, select the work type you want to edit.

  3. Select Edit workflow.

  4. From the workflow toolbar, select Rules.

  5. Select the rule you want to add from the list and click Select.

  6. Select the transition you want to add the rule to from the For transition dropdown.

  7. Fill out the required information to set up your rule, and click Add.

To see the rule in action, create a test work item and move it through your workflow.

You can add up to 10 rules to each transition.

Take care when using a rule to restrict who can transition a work item. If you remove the person or role associated with the rule, your team may have trouble moving work items through your workflow.

Edit a transition rule

To edit a rule on a transition:

  1. Next to your project's name in the sidebar, select more actions (•••), Project settings, and then Work types.

  2. From the sidebar, select the work type you want to edit.

  3. Select Edit workflow. The workflow editor appears.

  4. Select the transition in your workflow diagram. The transition details pane appears.

  5. Under Rules, click the card for the rule you want to edit.

  6. Make your changes and select Update.

Your newly edited rules are applied to your software project when you save and exit the workflow editor.

Delete a transition rule

To delete a rule from a transition:

  1. Next to your project's name in the sidebar, select more actions (•••), Project settings, and then Work types.

  2. From the sidebar, select the request type you want to edit.

  3. Select Edit workflow.

  4. Select the transition in your workflow diagram. The transition details pane appears.

  5. Under Rules, click the card for the rule you want to delete.

  6. Click the Delete rule button.
