Summary

This article clarifies the behavior of Jira workflows when referencing roles, particularly the 'Project Lead' role, and explains why certain roles may not be recognized by workflows under specific conditions. Users are unable to reference the 'Project Lead' in Jira workflows under the 'User is Any Project Role' condition.

Environment

Jira cloud only.

Diagnosis

  • Project Roles Reference in Workflows:

    • Jira workflows can only reference roles that are defined under Project Roles.
    • When setting up a condition like 'User is Any Project Role' in a workflow, only the roles listed in the Project Roles section will be recognized.
  • Project Lead Role:

    • The 'Project Lead' is a default role within project settings but is not automatically included in the 'Project Roles'.
    • This means that the 'Project Lead' will not appear in the workflow conditions unless it has been manually added to the 'Project Roles' section.

Cause

The 'Project Lead' role, as seen in project settings, is not automatically recognized by workflows because it is not defined within the 'Project Roles' section.

Solution

Steps to Add 'Project Lead' to Project Roles :

  • If you need the 'Project Lead' role to be recognized by a workflow condition, you must manually add it to the Project Roles.
  • Navigate to Project Roles and create a role named 'Project Lead'. Once added, it will be recognized by workflow conditions.
  1. Go to Jira Settings > System.
  2. Click on Project Roles under SECURITY.
  3. Add a new role named 'Project Lead'.
  4. This role will now be available for selection in workflow conditions like 'User is Any Project Role'.
