Managing your Group
You have only one group in HipChat. Your group is made up of the people in your organization.
The owner of the group is typically the person who installed HipChat Server. The group owner has the following permissions:
- The same permissions as people with the admin role
- The ability to administer the HipChat group

The group owner can change:
- The name of a group
- The owner of a group
- The chat history retention settings for a group or room
People with the admin role can administer HipChat, but cannot administer the group.
Changing the group name
You can view the group and change its name.
- Click the Group admin tab.
- Click the Group info tab.
The Group name field shows the group name you set when you configured HipChat Server. In the HipChat web and desktop apps, this name appears at the top of the app. - Type a new group name in the Group name field.
- Click Save.
Changing the group owner
A group can have only one owner. Typically, the owner is the person who installed HipChat Server. If you are the group owner, you can assign a different owner to the group. When you assign a new owner, you are no longer the owner. This means, you will no longer be able to administer the group.
- Click the Group admin tab.
- Click the Group info tab.
- In the Owner field, select a new group owner. (This means, you won't be able to administer the group, anymore.)
- Click Save.
Setting chat history retention
By default, HipChat Server retains all chat history for your group. You can choose to retain less chat history. Following are the options and their effects:
- You can retain chat history by age (from 7 to 365 days). HipChat Server deletes any chat messages, files, and links older than the age you specify. For example, if you choose to store 180 days of chat history, HipChat Server deletes all messages, files, and links older than 180 days. The deletions happen nightly.
- You can choose to retain no chat history. HipChat Server hides, but does not delete files, links, and existing chat history. HipChat Server stops retaining new chat messages.
HipChat Server stores your group's chat history, including messages, files, and links, locally. None of the chat history is stored in the cloud.
Setting history retention for your group
- Click the Group admin tab.
- Click the Group info tab.
- In the History retention field, select how much chat history you want to retain for your group.

Setting history retention for a room
By default HipChat rooms use the group's retention setting, but administrators can override this setting in individual rooms. This means, rooms can retain more history than your HipChat Server group. For example, an administrator can choose to retain all history in a room even when the group is set to retain only 90 days of history.
- Click the Group admin tab.
- Click the Rooms tab.
- Browse to the room you want to set the retention in.
- In the History retention field, select how much chat history you want to retain in your room.
