Archiving an object
Who can do this?
Assets Administrators, Assets Managers, and Jira admins can archive and restore objects.
Assets Developers and Assets Users can search for archived objects and view them.
If you have a lot of objects and want to make room for new objects, you can archive the ones you no longer use instead of deleting them permanently. This helps you declutter your assets and also enhance the performance of object searches as archived objects are not stored in the search index.
Archived objects have a read-only view that allows you to see the details of the object and its relationship with other assets. But note that you cannot perform other actions such as watch, comment, or add attachments. If you've unintentionally archived an object, you can restore the object at any time.
When you delete an object schema or object type, all archived objects within that schema or type will be deleted.
Archive an object
To archive an object:
Navigate to the object you wish to archive. Find objects in the object view.
You can also archive objects from the object schema view and from object search results.
- Select More actions then Archive and confirm that you wish to archive the object. The object will be immediately archived and not appear in the objects list.
To archive multiple objects, navigate to the object schema view or object search results and then from the Bulk menu, select Archive.
Restore an object
To restore an object:
- From the top navigation bar, select Assets then Archived objects.
- Search for the object you wish to restore using the filters.
- Select Restore.
You can also bulk restore archived objects from the search results. Select the checkboxes against the objects, and then select Restore.
Good to know
You can’t restore an archived object that has unique attributes if another object within the same object type has unique attributes. As only one object can have unique attributes, to restore the archived object, you can either remove the unique attributes of the other object, delete it, or archive it.
When you archive an object, all data associated with the object, including attachments, is preserved.
Archived objects are not stored in the search index and will no longer appear in the object schema view, object search results (including AQL search results, JQL searches with AQL functions), or Assets reports.
You find find the total number of archived objects in a schema from the General tab of the schema configuration page.
You can link an archived object to a Jira issue using Assets custom field only if you know the exact object key.
